A. Sponsors: If possible, designate a point of contact with whom our staff can communicate regarding the planning and application process, or regarding other issues that might arise.
B. Group Chaperones: Are very useful for assisting with student-related concerns. If the school is unable to send a chaperone, we ask that a student be designated as the “leader”, to assist with communication with our office.
C. The Director and Program Coordinator would like to meet with group chaperones (or student leaders) early in the program to answer any questions and to establish communication.
D. Observation of the Program: Chaperones are welcomed and encouraged to briefly visit classes and observe other on-campus activities. Contact the Program Coordinator to arrange these. We ask the following of our classroom visitors:
Speak only English.
Take photos only with the permission of all of the students.
E. UH Wi-Fi Access for Chaperones: Free and available upon request.
F. In case of emergency: Your institution should have a plan in place in case of emergency.
This plan should be communicated to your students, chaperones, and our office.
Our NICE staff is available to assist students in case of emergency during regular business hours. Our Program Coordinator will provide his cell number and can be reached after business hours, including weekends. For emergencies that may occur in the evenings or weekends, students should request the assistance of their homestay family, the dormitory staff, or hotel staff. They should know to call “911” to access the Honolulu Police, ambulance, or Fire Department (this is covered in our orientation and safety briefing as well).
Please note that in case of weather-related warnings (e.g. hurricane or tsunami) or other types of emergencies, NICE classes will be cancelled if UH-Mānoa is closed. Students should listen to the local news reports and check their email for school cancellation information. The NICE staff will make every attempt to provide information on the office phone message system (808-956-7753) and via Facebook and Instagram. When possible, we will contact group chaperones/student leaders to provide information and advice on how to handle each situation.
G. Memorandum of Understanding:
Some sponsoring universities wish to have an agreement with us before they send students to our programs. Upon request, we are happy to make an agreement between UHM Outreach College and your institution.
Our general Memorandum of Understanding is quite general and does not include any commitment on the part of UHM to send UHM students or faculty to the sponsoring university.
The agreement is signed by the Dean of Outreach College and the UH President, and the appropriate representative(s) at the sponsoring institution.
